Announcement from Assembly Organizers

Dear friends across the Synod (and beyond!),

We are so glad that you are joining us for this year’s assembly. We are looking forward to a time of fellowship, healing, and reconnecting as we gather to do the business of the Church.

As attendees to the assembly, there are some important things that you should be aware of:

Check-in times:

Friday, September 15, 11:00 am-1:00 pm, 4:15-6:00 pm

Saturday, Sept 16, 8:30 am-10:00 am

Should you arrive on Friday between the first and second check-in sessions, you will be able to sit in the visitor area of the main ballroom, but even if you are registered as a voting member, you will not be able to vote. This is due to the need for accurate credentialing during the voting process. Once you check in, you will receive your voting machine and be able to participate fully.

Meals: The meals that are included in the cost of your registration are dinner on Friday evening and lunch on Saturday. Breakfast is not provided by the assembly, but there will be a “grab-n-go” option with breakfast items for purchase. The banquet on Saturday evening is by pre-paid ticket only. The hotel has options for eating on-site, and there are always options off-site for a nice meal, as well.

If you requested special meals due to dietary needs, we ask that you refrain from deviating from your request. We are asking the hotel to provide these special requests, and last-minute decisions to change from one meal to another result in a significant cost increase. Thank you for understanding.

Beverages: You are encouraged to bring water bottles/reusable drink cups with you.

Hospitality Snacks: As in previous years, you are invited to bring snacks to share in the hospitality room.

Synod Offering: At both worship services (Friday afternoon and Sunday morning), we will be taking an offering. The offering will be divided evenly between Second Harvest of Silicon Valley and the Sierra Pacific Synod Candidacy program.

Volunteers Still Needed:

You do not have to volunteer for the entire weekend! You can help set up decorations on Thursday, the 14th, or remove decorations on Sunday afternoon, the 17th. You can volunteer to be communion assistants at the closing worship service on Sunday. You can be greeters who direct participants to the various locations of events. You can direct presenters to the location of their workshops. You can watch for participants who may have mobility needs and direct them to the elevators, ramps, and escalators. You can help distribute materials at the assembly sessions. This is an opportunity to bring enthusiasm and assistance to all who are working for our Church through the theme Broken Yet Whole. Thank you for considering this request. We need about forty volunteers throughout the weekend. Please contact Jean Hope if you are able to help out! 408-480-6232 (text or call) or jhopeassoc@aol.com

Personal Care: While we are not requiring masks to be worn, we do want to encourage those who feel more comfortable with masks to please wear them. We will be a large gathering of people, and we know that Covid numbers are on the rise again. Please be mindful of your neighbors and care for one another.

Additionally, due to the large number of people gathered in one space, we ask that you be cautious about wearing scents/perfumes. While the space is very well-ventilated, we want to be careful for those who have allergies.

Online Preparations: Before we gather in Burlingame, there are two more online gatherings to be aware of:

September 10, 5:00-8:00 pm, the Synod Council will be hosting an online hearing for the three resolutions that we will be asked to vote on during the assembly. The discussion will be led by the Resolutions Committee. You may join all three resolution discussions or hop in for the ones you are most interested in:

5:00-6:00 – 2023-01 Rostered Compensation

6:00-7:00 – 2023-02 Council Representation

7:00-8:00 – 2023-03 Healthcare Costs

September 12, 6:30 pm, the Synod Council will be hosting an online hearing for the new budget that we will be asked to vote on during the assembly. Discussion will be led by the Finance Committee.

Look for more information to come in the Thursday Assembly e-blasts.

With gratitude for all of you and prayers for a life-giving assembly,

Rev Courtney Geibert
